Purpose: Under the supervision of the Deputy Representative, performs a variety of information gathering, monitoring, and administrative services of moderate scope and difficulty, in support of the work of the Deputy Representative and the programme sections.


Major  Duties & Responsibilities:
















  1. Assist in maintaining UNICEF Budget systems with special focus on budget monitoring and prepare monthly reports on programme budget utilization for use by project officers in discussions and briefing sessions.
  2. Compile information on status of funding and programme/project implementation from VISION reports and assists in preparing monthly programme implementation reports for CMT and PC meetings, and ad hoc reports on programme and project activities.
  3. Ensure office-wide programme budget management including PBA registration and allocation, PBA reconciliation with DFAM, and PBA re-phasing.
  4. Review, monitor, and provide quality assurance and follow-up on financial aspects of funding proposals, donor contributions and donor reports.
  5. Maintain records of contribution monitoring, donor reporting and other records to the office of the Deputy Representative.
  6. Assist in the preparation of draft requisitions and payment requests for all programmes.
  7. Participate in mid-year review, annual review and mid-term review, and prepares background information and documents for the reviews and meetings.
  8. Assist to draft minutes of meetings, to attend in- and out- documents and letters, to support the travel arrangements and other administrative functions for the Deputy Representative.
  9. Any other tasks as requested by the supervisor.


Requirements: Education: Completion of secondary education, preferably supplemented by technical or university courses in a field related to the programme management and monitoring.

Experience: Six years of progressively responsible clerical or administrative work, of which at least one year is closely related to support of programme monitoring. UNICEF experience is an asset.

Computer: Good knowledge of computer management and application skill, Knowledge of Excel applications an asset.

Language(s): Fluency in both English and Tetum. Knowledge of another UN language is an asset.
